Single sourcing in technical documentation: produce once, publish to all channels

Single sourcing consists of maintaining governed source information, then reusing and transforming it for multiple deliverables. It does not mean placing all files in a single folder, nor automatically producing all channels without control. Its success depends on structured content, appropriate granularity, reliable metadata, variant rules, and an industrialized publishing pipeline.

What is single sourcing?

Maintaining reference information, then assembling, conditioning, and publishing it in multiple documents, variants, or channels.

Governed source

Procedures, warnings, descriptions, tables, and media have metadata, a status, and a history.

Single source does not mean single content. Variants remain possible, but they are represented explicitly instead of being maintained as copies whose origin becomes uncertain.

The single source is not necessarily a single file: in a CCMS, it generally takes the form of a set of structured components.

Source content does not carry all of its final presentation. Templates and transformations apply the branding, pagination, navigation, and expected behaviors. In DITA, maps organize topics and references allow for their contextual reuse.

The source must be able to be understood, selected, controlled, and reused before being automated.

A single source does not correct false information: it can even propagate an insufficiently validated error faster.

It centralizes text but remains difficult to reuse and adapt.

"Controlled" copy-pasting

A procedure does not guarantee that all copies will be found and corrected.

Content remains trapped in one channel, and every new output requires manual rework.

Automation without governance

Publication is fast, but no one knows which variant should be distributed.

The system replaces neither the content owner, nor consistent terminology, nor business validation, nor the design of the consultation experience.

Immediate full migration is rarely the best trajectory. A representative pilot allows for testing choices.

Components, metadata, workflows, and responsibilities.

Test, for example, a PDF and a responsive portal.

The pilot must be realistic enough to reveal hidden layout dependencies without accumulating every extreme case from the legacy content.

A high reuse rate is not an absolute goal: artificial reuse can degrade understanding and maintainability.

Do I need to use XML for single sourcing?
No. However, XML remains suitable for complex documentation thanks to its explicit structure, schemas, transformations, and ecosystem.
What is the difference with multichannel publishing?
Single sourcing controls and reuses the source. Multichannel produces multiple outputs. Multiple channels based on different copies do not constitute a single source.
Is a CCMS mandatory?
No for a small scope. It becomes useful when components, versions, translations, variants, users, and publications multiply.
Can human validation be maintained?
Yes, it remains essential. Tools control the structure and generate outputs; experts validate the meaning, applicability, and usability.
Should all existing documents be migrated?
No. Active, expensive-to-maintain, and reusable content should be prioritized. Stable or end-of-life documents can keep their format.

Single sourcing does not aim to automatically manufacture more documents, but to maintain fewer, better-governed sources capable of feeding the right deliverables at the right time.
