Single sourcing in technical documentation: produce once, publish to all channels
Single sourcing consists of maintaining governed source information, then reusing and transforming it for multiple deliverables. It does not mean placing all files in a single folder, nor automatically producing all channels without control. Its success depends on structured content, appropriate granularity, reliable metadata, variant rules, and an industrialized publishing pipeline.

What is single sourcing?
Maintaining reference information, then assembling, conditioning, and publishing it in multiple documents, variants, or channels.
Governed source
Procedures, warnings, descriptions, tables, and media have metadata, a status, and a history.
Single source does not mean single content. Variants remain possible, but they are represented explicitly instead of being maintained as copies whose origin becomes uncertain.
The single source is not necessarily a single file: in a CCMS, it generally takes the form of a set of structured components.

How does a single-source publishing pipeline work?
Create, manage, assemble, then transform: four distinct functions to power different experiences.
Source content does not carry all of its final presentation. Templates and transformations apply the branding, pagination, navigation, and expected behaviors. In DITA, maps organize topics and references allow for their contextual reuse.

The source must be able to be understood, selected, controlled, and reused before being automated.
Content model
Distinguish between tasks, concepts, references, warnings, prerequisites, and results.
Appropriate granularity
Create autonomous and validatable components without artificially breaking up every sentence.
Reliable metadata
Product, version, language, status, owner, audience, and applicability.
Variant rules
Distinguish between common source, conditional content, and truly specific components.
Governance
Assign owners, authors, experts, translators, and publishing managers.
Tested publication
Control each channel according to its constraints for tables, media, navigation, and accessibility.
Warning: incomplete metadata or ambiguous rules turn automation into a risk of dissemination errors.

What gains can be expected?
The primary benefit is consistency: common information is no longer corrected in multiple independent files.
The value becomes particularly visible when content evolves often, is heavily reused, or feeds many variants. The initial investment covers the model, migration, transformations, and author support.
Gains are not automatic: they must be compared to the cost of design, legacy conversion, and governance of the new system.

A single source does not correct false information: it can even propagate an insufficiently validated error faster.
Giant master file
It centralizes text but remains difficult to reuse and adapt.
"Controlled" copy-pasting
A procedure does not guarantee that all copies will be found and corrected.
Layout as source
Content remains trapped in one channel, and every new output requires manual rework.
Automation without governance
Publication is fast, but no one knows which variant should be distributed.
The system replaces neither the content owner, nor consistent terminology, nor business validation, nor the design of the consultation experience.

How to deploy single sourcing progressively?
Immediate full migration is rarely the best trajectory. A representative pilot allows for testing choices.
Choose the scope
Select a family with duplicates, variants, or frequent updates.
Measure the starting point
Volumes, duplication, translation, deadlines, and anomalies.
Design the rules
Components, metadata, workflows, and responsibilities.
Produce two channels
Test, for example, a PDF and a responsive portal.
Organize the conversion
Automate conversions, then control structure and meaning.
Expand in waves
Train, capitalize, and broaden based on results.
The pilot must be realistic enough to reveal hidden layout dependencies without accumulating every extreme case from the legacy content.
